VOICE AGENTS & CHATBOTS

AI voice agents and chatbots that actually get used

A missed call is usually a lost job. For most small businesses the phone rings while everyone is on the tools, at a customer site, or asleep, and the caller rings the next name on the list. An AI voice agent picks up every time, in a natural voice, and handles the routine calls end to end: answering questions, taking booking details, qualifying the job and passing the real ones straight to you. The same brain runs your website chat and your after hours messages.

WHAT YOU GET

Deliverables

A voice agent trained on your actual business

Your services, your pricing rules, your service area, your hours and the ten questions you are sick of answering. Not a generic assistant with your name on it.

A phone number that just works

Keep your existing number and forward to the agent, or use a new one. Calls it cannot handle transfer to a real person mid conversation with the context intact.

Website chat running off the same knowledge

One place to update what the business knows, and both the phone and the chat widget change together. Two separate knowledge bases is how these systems rot.

Bookings written into your calendar

The agent checks real availability and writes the appointment where your team already looks, rather than emailing you a message to action later.

Full transcripts and recordings

Every conversation is searchable. You can hear exactly what your business sounded like at eleven at night, which is usually the moment people decide to tune it.

An escalation rule you control

You decide what the agent must never attempt. Anything on that list goes to a human immediately with a summary of what was said.

HOW IT RUNS

The process

  1. Listen to what actually gets asked

We go through your recent calls, enquiries and messages and group them. The pattern is nearly always that four or five question types make up the large majority of the volume, and those are what the agent has to nail.

  2. Write the scripts and the boundaries

What it says, how it says it, what it must never promise, and exactly when it hands off. This is where the difference between a useful agent and an embarrassing one is decided.

  3. Build and connect

Voice, telephony, calendar, CRM and your knowledge base. Then it runs on a test number that only you can call.

  4. You try to break it

We hand you the test number and ask you to be the worst caller you can imagine. Mumbling, accents, interruptions, trick questions, unreasonable requests. Everything you find gets fixed before a customer meets it.

  5. Go live on overflow first

The agent starts by taking only the calls you would otherwise miss: after hours, or when nobody picks up in four rings. That way its worst case is a call that was going to voicemail anyway.

  6. Tune monthly

We review transcripts, find where it fumbled and adjust. Voice agents get noticeably better in the first two months, and only if someone is actually reading the transcripts.

TOOLS WE USE

The stack

  • Realtime speech to speech models for natural turn taking
  • ElevenLabs and OpenAI voices
  • Twilio and SIP telephony
  • Retrieval over your own documents, so answers are grounded in your content

WHO IT SUITS

Best for

  • Trades, clinics, salons and any business where the phone is the front door

HOW WE WORK TOGETHER

Engagement

TYPICAL TIMELINE
A first agent is normally live on overflow within two to three weeks.
WHERE WE START
TechMoose AI is our own product for this, so you can see a working agent before committing to anything custom.
COMMITMENT
Monthly, including the tuning. Voice agents are not a set and forget purchase and we will not sell them as one.

QUESTIONS

Frequently asked

Can callers tell they are talking to an AI?

Some can and some cannot, and we recommend telling them either way. A short line at the start such as saying it is an automated assistant that can take a booking or put them through costs nothing and consistently gets better outcomes than pretending. Callers are far more forgiving of a machine that is upfront than one they catch out.

What happens when the agent cannot answer something?

It hands off. Depending on the hour that means a warm transfer to a real person with the conversation summarised, or taking a message and a callback time and sending you the transcript immediately. It is specifically built not to invent an answer when it does not know.

Can it take bookings straight into my calendar?

Yes. It checks live availability against Google Calendar, Outlook or your booking system, offers only slots that are genuinely free, and writes the appointment with the caller's details attached. It does not double book, because it is reading the same calendar your team is.

Does it work with my existing phone number?

Yes. Most businesses keep their number and forward to the agent, either always or only when nobody answers within a set number of rings. You do not have to reprint anything.

How much does an AI voice agent cost?

There is a setup cost to build and train it, then a monthly cost driven mainly by call minutes. For a business taking a moderate volume of calls it is normally a fraction of a part time receptionist, and the honest comparison is not against a salary but against the value of the jobs currently going to voicemail.

What about accents and background noise?

Modern speech models handle Australian accents well, and noisy environments are the situation we test hardest before going live. Where a caller is genuinely unintelligible the agent asks them to repeat once and then transfers rather than guessing, because a wrong booking is worse than a transfer.
