AI AUTOMATION
AI automation for Australian businesses
Most small and medium businesses lose hours every week to the same handful of jobs: retyping information from one system into another, chasing quotes, sorting the inbox, building the same report every Monday. AI automation means those jobs run themselves, and a person only steps in to approve or handle the exception. We build the workflow, connect it to the software you already pay for, and leave you with something you can see, audit and switch off.
WHAT YOU GET
Deliverables
A mapped workflow before anything is built
We write down every step of the process as it happens today, including the parts that live in someone's head. Half the value shows up here, because a process nobody has ever written down is usually doing two or three things it no longer needs to do.
The automation itself, in your own accounts
Everything runs on infrastructure you own and can log into. No black box on our servers that stops working the day you stop paying us.
A human approval step wherever money or reputation is involved
Automation that sends a quote, replies to a customer or moves money gets a review gate by default. You choose which gates to remove once you trust it.
Logs you can actually read
Every run is recorded in plain language: what came in, what the model decided, what it did. When something goes wrong you can see why in seconds instead of guessing.
A handover document and a walkthrough
Written for the person who will run it, not for a developer. It covers what to do when it breaks, what it costs to run, and how to change the parts you are most likely to want to change.
HOW IT RUNS
The process
Map
A working session where we follow one real job end to end. We are looking for the steps that are high volume, low judgement and well defined, because those are the ones automation actually improves.
Pick the smallest useful slice
One process, one measurable saving. Automating everything at once is how these projects die. We want something live and earning its keep before we scope the second one.
Build and test against real history
We run the automation over jobs you have already completed, so you can compare its output to what actually happened before it ever touches a live customer.
Pilot with the gates on
It runs alongside your existing process with a human approving each action. You get the time back gradually as confidence builds, not all at once on a leap of faith.
Hand over
Documentation, a walkthrough and an agreed support arrangement. You can keep us on for changes or run it yourself. Both are fine, and the code is yours either way.
TOOLS WE USE
The stack
- OpenAI and Anthropic models
- n8n and custom Node.js workers
- Supabase and PostgreSQL
- Vercel serverless functions
- Xero, HubSpot, Slack and Google Workspace APIs
- Twilio for SMS and voice
- Structured output and schema validation on every model call
WHO IT SUITS
Best for
- Trades and services businesses drowning in quoting and scheduling admin
- Any team where one person is the bottleneck for a repetitive approval
- Businesses running three or four systems that do not talk to each other
- Companies that tried an off the shelf AI tool and found it did not fit the way they work
HOW WE WORK TOGETHER
Engagement
- TYPICAL TIMELINE
- A first automation is usually live in two to four weeks from the mapping session.
- WHERE WE START
- We start with a paid discovery and mapping session, so you get a written process map and a costed recommendation whether or not you build with us.
- COMMITMENT
- No lock in retainer to get started. Ongoing support is optional and priced separately.
QUESTIONS
Frequently asked
What is AI automation, in plain terms?
AI automation is software that carries out a repetitive business process from start to finish, using an AI model for the steps that need judgement, such as reading an email, classifying a request or drafting a reply. Traditional automation follows fixed rules and breaks the moment the input varies. AI automation copes with messy, real world input, which is why it works on things like inbox triage, quoting and document handling that rule based tools never managed.
Will AI automation replace my staff?
In a small business, almost never. The usual outcome is that the same team stops spending its afternoons on data entry and follow up, and gets that time back for work that actually needs a person. We deliberately design with a human approval step so the automation removes the tedium rather than the judgement.
How much does AI automation cost in Australia?
The build is a one off project fee that depends entirely on how many systems have to be connected and how messy the process is. On top of that there are running costs, which for most small business workflows land between a few dollars and a few hundred dollars a month in model and hosting charges. We quote both numbers up front and show you the working, because the running cost is the one people get surprised by later.
What happens if the AI gets something wrong?
Every automation we build logs its reasoning and its action, and anything that touches a customer or money sits behind a human approval gate until you choose to remove it. If a model returns something that does not match the expected structure, the run stops and flags for review rather than pushing bad data downstream.
Do I need to move off the software I already use?
No. Almost every automation we build connects to what is already there, whether that is Xero, a CRM, a booking system or a shared inbox. Replacing working software is expensive and disruptive, and it is rarely what the problem actually calls for.
Do I own what you build?
Yes. The code, the workflows and the accounts are yours, and they run on infrastructure in your name. You are not renting access to something we control.
